IMPORTANT DETAILS
The Senior Executive Assistant provides high-level administrative support to the executive office. This position is accountable to the CEO and COO, and reports to the Chief of Staff.
WHAT YOU WILL DO
- Provide comprehensive administrative support including managing complex calendars, schedule management, agendas, itineraries, expense reports, projects, research, travel arrangements, reservations, personal duties as needed and ad hoc requests.
- Anticipate needs, including keeping the CEO and COO well-informed of upcoming commitments and responsibilities, gathering, drafting, and proofing meeting details, agendas, correspondence, letters, reports, and/or recording accurate and detailed meeting notes as needed.
- Proactively prioritize daily, weekly, and monthly tasks and organize internal and external meetings.
- Supervise and manage the work of the Executive Office Assistant, providing guidance and training.
- Develop and edit briefing materials, presentations and speeches to prepare the CEO and COO for internal and external engagements, working with other team members as necessary to provide materials and support.
- Serve as a liaison between the CEO and executive team, team leaders and external VIPs, maintaining discretion and confidentiality.
- Maintain proper recordkeeping, filing, and organizational systems for all work and relevant documents and agreements (including logins and passwords).
- Support the CEO and COO with advance preparations for VIP and dignitary meetings and events including introductions, working with other team members as necessary to provide materials and support.
- Support the development of internal and external communications for the CEO and COO.

JOB EXPERIENCE
- At least five years of experience supporting executive office level duties is preferred.
EDUCATION AND CERTIFICATIONS
- Bachelor's degree in related field preferred.
SKILLS AND KNOWLEDGE
- Positive attitude and energy, commitment to the team, and a deep desire to learn are essential to success.
- Able to communicate effectively, both orally and in writing.
- Demonstrated ability to manage highly complex situations with a high level of tact and diplomacy.
- Demonstrated ability to manage multiple projects with competing deadlines using superior time management techniques.
- Able to operate moderately complex computer software programs.
- Must have superior organizational skills.
- Strong working knowledge of best practices for managing schedules and a busy executive office.
