​Having a well-thought job description is critical for capturing and retaining the best staff in the business. Career Executive Personal Assistants and Estate Managers take their jobs very seriously and examine a JD very carefully.

​Because we are so often asked about what an ideal job description should look like, here it is:



A world-renown executive in the finance industry is seeking a well-spoken and very adaptable executive personal assistant whose primary role would be to shadow and provide A to Z personal and professional support for international as well as domestic travel.  A can-do and always-positive attitude is a must.  Candidate must wear many hats and have the appropriate sense of style for the occasion, whatever that may be.  This is a true “right-hand” position and the candidate must handle workflow for several companies.

PA would work with current support staff to handle every aspect of complex travel logistics: private jets, chauffeurs, hotel arrangements, business luncheons, personal meals and entertainment. PA will travel with principal handling every moment-to-moment detail and coordinating real-time with support staff back in the office. PA will be present in high-level and business-critical meetings with top-level executives, creative people and top brass in the government, as well as working with PR staff during press events and public presentations.

PA will fit personal time (such as art exhibitions, fine dining, and theater performances) into principal’s tight travel schedule, with the research, planning, acquiring tickets and as appropriate, joining in activities. When personal assistant leaves town with the Principal, travel averages about 10 overnight trips per month.  Destinations include but are not limited to Los Angeles, New York City, Miami, Paris, London, and Rome.

When traveling, you would maintain the same hours as the principal, often getting up early to finalize details for business meetings, breakfasts and staying out late at press events or dinners with other executives and potential business partners. When not traveling, assistant would work with Principal’s local companies and housing staff, supporting multiple offices and homes, personal shopping, and supporting health/fitness goals. You would also attend local meetings and be provided a company vehicle to drive so that the Principal can work on emails or do conference calls without worrying about traffic, directions, parking, etc.

​Bachelor’s degree from four-year university is required. Must have valid passport and be available to travel on a moment’s notice, and have international travel experience.  Ideal candidate should have personal service or hospitality background, experience directly reporting to a busy executive, and ambition to grow into a long-term position inside the corporate office. Possibility for career enhancement is unlimited, directly related with ability to understand and anticipate Principal’s needs and use that understanding to create a balanced lifestyle.

This is a full-time, permanent position for an executive/personal assistant and compensation will be based on experience: up to $150K and a relocation package for the right candidate.  Position includes full benefits, housing, auto, accommodations, plus a discretionary year-end bonus.

HOURS: Average of 50 – 60 per week and on-call 24/7.
SPECIAL SKILLS: Expert-level with MS Office and typing 80 wpm or more. Dictation experience a plus.
