Candidates can be located in either Los Angeles or Chicago
Seeking a motivated, highly organized, and detail-oriented Executive Personal Assistant to support a high energy, seasoned on-air talent with a busy calendar. The candidate should be a well-organized multitasker who is comfortable scheduling meetings, updating complex schedules and organizing travel.
The Executive PA must be able to effectively communicate with various levels of associates, both internal and external, with the highest degree of respect and professionalism. This person will act as an all-around gatekeeper and strategically manage talent’s time.
Resourcefulness, discretion, confidentiality and a “can do” attitude is key.

Location
Candidates from either Los Angeles or Chicago will be considered. Familiarity with both cities is a big plus.
Hours
46 to 50 hours per week. Occasionally, nights and/or weekends based on special projects and travel schedule.
Travel
Possibly, as the assistant grows into the role.
Salary
$50K to $75K, based on experience and education

Responsibilities
- Schedule and update talent’s corporate and social calendar
- Handle/manage all speaking requests and appearances
- Coordinate domestic & international travel – handling flights, cars, lodging, restaurants, etc. – making sure to confirm, reconfirm and track schedule and itineraries and provide all information and any updates to the talent.
- Screen phone calls, respond to emails, and handle various correspondences
- Ability to multitask and work on several projects at once
- Handle all administrative tasks and personal assisting duties
- Aid talent in preparing for meetings
Qualifications
- Bachelor’s degree (preferred)
- Experience in managing multiple priorities, administrative coordination and logistics involving different time zones
- Ability to be proactive and take initiative
- Well-organized, detail oriented, great follow up skills
- Strong written and verbal communication skills
- Experience with scheduling and accessing Zoom meetings
- Discretion and trustworthiness: You will often be party to confidential information
