Position: Personal/Executive Assistant and Household Manager
Location: Lafayette, CA (Greater San Francisco Area)
The ideal candidate must have significant experience as an Executive and/or Personal Assistant and should be very detail-oriented and tech-savvy with the ability to juggle multiple projects both personal and business.
You will need to be a strong communicator to effectively partner with colleagues and family members as you seamlessly organize meeting schedules, travel plans, and other important company and personal initiatives. Your professionalism, discretion, and high standard of work will be integral to your success in this exciting, high-level support role.

Responsibilities:
- Manage the CEO’s inbox, calendar, meeting requests, and incoming and outgoing correspondence (all emails)
- Anticipate executive's needs
- Personal errands: groceries, gifts, cards, appointments, cards
- Employee recognition, Family celebrations, Vacation planning, Party planning
- Travel: Prepare detailed domestic and international travel itineraries
- Coordinate events and special projects
- Maintain accurate address books, files, and contact lists
- Manage CEO's personal finances, bill payment, and personal vendor management
- Oversee CEO's boats, storage units and real estate
- Manage health plan; schedule personal appointments, file all health claims for reimbursement, call insurance companies, etc.
- Coordinate dining reservations, ticket purchases, and ad hoc personal requests
- Off-hour support; high-level of responsiveness and sense of urgency
- Handle personal research and requests in order to leverage CEO’s time effectively
- Confidentiality: Maintain the highest standard of ethics and strict confidentiality in all aspects of the position
- Manage household tasks; scheduling maid services, yard work, placing grocery orders, etc.
Qualifications:
- Ability to adapt to an ever-changing work environment by managing competing demands; ability to deal with frequent changes, delays or unexpected events
- 5+ years of Executive/Personal Assistant experience supporting a high-energy Executive out of the home or office
- Ability to follow up, multi-task, prioritize, and self-manage
- Familiarity with the oversight and management of multiple households/properties and staff members
- Excellent phone etiquette and strong communication skills
- Must be comfortable with a 24/7 mindset
- Strong attention to detail, demonstrating accuracy and consistency
- Comfortable with intense work contexts and able to stay calm and focused in fast-paced environments
- Possess a positive, go-getter attitude and strong work ethic; ability to be proactive, resourceful and solutions-oriented; highly reliable, responsible and responsive
- Ability to learn quickly, and when mistakes are made, learn from them
- Verification of identity, education, prior employment, and references required
