Job Description
A premier and well-established private alternative investment management firm is seeking to hire an Executive Assistant for the Technology team. The firm was founded over 30 years ago and is based in New York, with other offices globally. This person will report to the Co-Chief Operating Officer, Chief Technology Officer.

HOURS: 8/8:30am – 5/5:30pm (with general flexibility for OT as needed)
Please note this role is in office 3 days Monday, Tuesday, Thursday / 2 days remote
COMPENSATION: $90-100k (DOE) + Overtime + discretionary bonus + benefits
BACHELOR'S DEGREE: Required
*Hybrid role in office 3 days / remote 2 days

Responsibilities of the Executive Assistant:
- Support for one C-Level Executive and a business unit manager (90/10)
- Ability to integrate fully into the business unit and become a true partner to the executive
- Proactively assess and prepare for upcoming commitments and obligations
- Establish credibility and become the go-to person to give sound direction to the team
- Coordinating and scheduling meetings and preparing/organizing materials
- Coordinating travel arrangements using Concur Travel
- Planning and coordinating team events and outings
- Arranging video conferences and conference calls with external guests across multiple time zones
- Managing calendars, ensuring preparation time, conference rooms, sequencing across multiple time zones
- Phone coverage, dealing with both internal & external contacts
- Build strong working relationships with peer administration staff
- Special projects as required
- Assist in composing and proofing meeting agendas and notes, and uploading to Compass site
- Organize and maintain files in a shared drive
- Prepare, submit, and reconcile expense reports
- Ad Hoc personal errands
Requirements of the Executive Assistant:
- College degree, minimum GPA 3.0
- Strong MS Office skills - Word, Excel, PowerPoint, Outlook
- Detail-oriented and organized
- Strong work ethic
- Exceptional calendar management skills
- Ability to multi-task, prioritize, and maintain a sense of urgency
- Discreet, sensitive to confidential and/or personal matters
- Good communication skills, articulate, personable, and resourceful
- Must be a team player that works well under pressure
- Self-motivated with a “can-do” attitude
- Responsible, reliable, and flexible
- Minimum 5 years of experience as an Executive Assistant to Senior Management
- Ability to work in a fast-paced environment
- Interest in technology and how it impacts the financial world is a plus
- Verification of identity, education, prior employment, and references may be required
