The Executive Assistant will assist with the coordination of the day-to-day responsibilities of the Supervising Director and Executive Producer of Lucasfilm Animation, on an animated television series.
What you’ll do
- Provide the VP of the department with support to enable them to complete their work in a timely manner. This includes: managing calendars/schedules and adjusting meetings to accommodate priorities, arranging travel and procuring/coordinating necessary items needed for travel, creating presentations, and coordinating other key events.
- Prepare, submit and track expense reports for the VP as well as other senior staff members as requested or assigned.
- Coordinate and set up internal/external meetings and events including booking conference rooms, setting up A/V technology needs, meals and catering, running errands, entering guests into visitor kiosks and escorting guests.
- Provide support for conferences as well as Speaker Engagements in the form of scheduling, arranging travel, booking conference rooms, catering, and coordinating and assisting with other logistics.
- Utilize and update tracking systems daily.
- Provide administrative and backup support to the production team including taking notes in meetings, creating documents and schedules, photocopying, computer data entry and filing.
- Prepare routine correspondence and forms, package and ship various artwork, samples, etc. as needed.
- Order, inventory, maintain and distribute office supplies appropriately.
- Complete special projects as needed or requested.
What we’re looking for
- 2+ years of experience providing administrative support or as an assistant within the entertainment industry
- Demonstrated professionalism and ability to maintain the highest level of confidentiality
- Ability to use correct etiquette when speaking with production, studios, agencies, etc.
- Ability to handle many tasks efficiently with a high level of detail and accuracy within a fast-paced, multi-project, tight deadline environment
- Excellent administrative skills including word processing, strong working knowledge of G-Suite, Word and Excel, PowerPoint, Keynote, Google Docs required.
- Demonstrated ability to partner with others and build relationships

- Excellent interpersonal skills, written and verbal

- Must be flexible regarding ‘on call’ (including weekends) work when as needed or when requested.
- Bachelor's degree or equivalent experience.
