We are seeking a dynamic individual to join us as the Executive Assistant to the Executive Artistic Director. Situated in the vibrant cultural landscape of New York, this pivotal role involves providing strategic administrative support to the visionary leaders shaping the future of Carnegie Hall. The Executive Assistant will provide daily assistance in communication, correspondence, calendar management, artistic planning, and daily operations.

This position reports directly to the Executive Artistic Director of Carnegie Hall and may provide additional support to senior leaders and trustees, as necessary, in support of our organizational mission and objectives.

This position reports directly to the Executive Artistic Director of Carnegie Hall and may provide additional support to senior leaders and trustees, as necessary, in support of our organizational mission and objectives.
Tasks & Responsibilities:
- Coordinates complex scheduling and calendar management including (taking the lead on) correspondence with internal and external contacts to coordinate appointments.
- Assists in drafting written correspondence through dictation and provides necessary editing, as needed.
- Organizes and manages travel logistics, including itinerary preparation.
- Manages the coordination of concert tickets for the Executive Director’s box and guests.
- Attends Senior Staff meetings, ensuring the preparation and distribution of minutes.
- Acts as the liaison between the Executive Artistic Director and senior management and all other staff.
- Greets and receives all VIP guests of the Executive Office.
- Provides administrative and clerical assistance to General Counsel, as necessary.
- In partnership with Building Services, efficiently sorts, and prioritizes incoming mail for the Executive Office.
- Manages invoices and relevant budget responsibilities for the Executive Office.
Skills & Qualifications:
- Possesses at least 5 years of relevant administrative support experience at the C-suite level, preferably in an arts/cultural environment.
- Highly proficient in MS Office, virtual meeting tools (such as Zoom and Teams) with the capacity and willingness to learn new systems as needed.
- Demonstrate strong organizational and time management skills, a creative thinker, and an effective communicator, while maintaining confidentiality and exercising discretion.
- Exhibits strong written and verbal communication skills, with the ability to engage with a diverse population; shorthand desirable.
- Maintain a flexible and positive attitude/approach while dealing with time sensitive matters and information.
- Willingness to ensure tasks are completed, even if this sometimes means dealing with issues beyond office hours.
- A college degree in Music or Arts Administration is preferred.
