Job description
This role will serve as the Los Angeles-based Senior Executive Personal Assistant who will serve as Chief of Staff and Strategic Business Partner to the Senior Executive for a Multi-national Entertainment, Food and Beverage, and Bio-Tech conglomerate.
This position will manage and supervise several Los Angeles-based EA's working in the LA office as well as coordinate with a large EA team internationally. The Executive resides in another country and visits Los Angeles for approximately 1-2 months during the year, for days and or weeks at a time.
This multi-faceted role requires a top-notch seasoned, Senior Executive/ Personal assistant who will partner with the Executive. The ideal candidate for this role will be very proactive, an extreme problem solver with exceptional strategic and critical thinking abilities.
Ability to act as the US forward-facing leader for a multinational company. Must possess cultural awareness and have appropriate deference when engaging with a variety of personalities across multiple disciplines and roles. Be a self-starter, and proactive problem solver with the ability to troubleshoot and multi-task in a fast-paced, deadline-oriented department.
Bring possible solutions rather than flagging potential issues. Ability to maintain confidentiality is a must. Polite and professional manner, exercising patience and be tactful. Ability to adapt to changing situations. Requires good judgment and ability to be resourceful. Exercise good judgment and display professional maturity. Excellent organizational skills and attention to detail. Ability to prioritize and deal with a variety of personalities.
The position will handle high-volume calendars, answer multiple phones, coordinate domestic and international travel arrangements, event planning, deliveries, and file invoices/contract management, monthly travel and expense reports, development of presentations, and facilitate the flow of confidential and timely information throughout the department and company. Follow up on action items and report any unresolvable challenges.
