Responsibilities

  • Provide comprehensive day-to-day personal support to one of the firm’s founders.
  • Coordinate personal errands, appointments, and lifestyle logistics.

  • Build and maintain relationships with household vendors and service providers.
  • Process vendor invoices and ensure payments are submitted accurately and on time.
  • Coordinate domestic and international business and personal travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Assist with calendar coordination and scheduling as needed.
  • Support personal projects and special requests while managing multiple priorities simultaneously.
  • Coordinate office lunches, deliveries, purchases, and other day-to-day administrative needs.
  • Work collaboratively with the Personal Assistant team to provide seamless support across the principals when needed.
  • Anticipate needs, solve problems proactively, and ensure every detail is handled with professionalism and discretion.
  • Maintain the highest level of confidentiality at all times.

Qualifications

  • Approximately five or more years of experience supporting an executive, entrepreneur, principal, or UHNW. individual in a Personal Assistant, Executive Assistant, Family Office, or similar support role.
  • Exceptional organizational skills with outstanding attention to detail.
  • Strong problem-solving abilities and a proactive mindset.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize multiple responsibilities while remaining calm under pressure.
  • Comfortable working independently while collaborating closely with a small team.
  • Professional, polished, and service-oriented approach.
  • Tech-savvy with strong administrative and organizational abilities.
  • Valid driver’s license and authorization to work in Canada.

Preferred Qualifications

  • Experience supporting entrepreneurs, founders, executives, or principals.
  • Exposure to residential operations, vendor management, or household coordination.
  • Experience within a family office, private office, or fast-paced entrepreneurial environment.
  • Interest in growing into a leadership role over time.
