The Senior Executive Assistant to the CEO is responsible for providing executive level administrative and project support for the CEO, while supervising others in administrative functions. The position requires the development of a thorough understanding of the organization and its mission, operations, structure, and culture. The aligned candidate will demonstrate sound judgment, initiative, change agility and diplomacy with internal and external stakeholders.
What You Will Do
Senior Executive Assistant: Serves as the CEO’s central point of contact and liaison for both internal and external matters. Functions as an extension of the CEO by proactively anticipating needs and addressing issues, elevating to the CEO for review and decision when appropriate.
Responsible for vetting internal and external requests and ensuring timely management of all inquiries, directing assignments to appropriate staff on behalf of the CEO, taking the lead on researching and briefing preparation, and spearheading special projects and events as assigned by the CEO.
Provides strategic input and advice to the CEO to assist in the development of organizational priorities, decision making and problem solving. Stays abreast of the current workloads of staff keeping them informed of any changes or updates to systems and processes to keep the office running smoothly.
Provides administrative support to the CEO. Responsibilities include: handling correspondence and incoming communications; scheduling meetings; maintaining calendars; ensuring travel arrangements; maintaining files; preparing materials for regular and special meetings; managing requests for speaking engagements and other public appearances.
Project Management and Support: Serves as project manager and special projects lead responsible for the strategic development and implementation of ideas and proposals for various projects involving the organization.
Provides written and oral updates to the CEO and Executive Team as appropriate. Is responsible for: project and process tracking and management, written communications, creating presentations and reports; creating meeting summaries; following up on assigned tasks; scheduling; and preparing meeting materials. Takes the lead on managing timeline and delivery of CEO communications, including internal and external presentations.
Board: Serves as the administrative liaison and contact between the organization and the Board. Responsible for all logistics of meetings and preparation of meeting materials. Provides input into information that needs to be shared with the Board for both meetings and updates between meetings as needed.
Management of Administrative staff: Manages the Executive Assistants. Managerial duties include organizing and prioritizing administrative workload and tasks; ensuring administrative support for staff and events; approving time and expense reports and completing performance reviews; assisting with recruiting and training of new personnel.
Human Resource Support: Duties include processing confidential and sensitive HR information and assisting the Executive Team in the process of hiring, onboarding and training their direct reports. Assist with the offboarding of staff.
Organization Representation: Will accompany the CEO of the organization at external functions in a support role. Provide project planning and follow up on behalf of the CEO as assigned.

- The ideal candidate will live in the SF Bay Area and will be able to come into the San Francisco Presidio office three days per week.
- Minimum of 7 years of relevant work experience. Experience in philanthropy and/or non-profit sector preferred.
- At least 1-2 years of experience managing people
- Analytical, detail oriented, and organized with a proven ability to multitask, strategize, problem solve, and prioritize responsibilities.
- Ability to deliver results in the face of ambiguity.
- High-level performer with a commitment to achievement of goals and an ability to ‘manage-up’ as needed in setting deadlines and deliverables for staff.
- Exercise sound judgment and maintain confidentiality as appropriate.
- Excellent oral and written communication skills required.
- Proven track record of managing, leading and inspiring others through times of change and growth.
- Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Sharepoint and Outlook required and knowledge of social media platforms preferred. Willingness to learn and utilize additional software programs as needed.
- Flexibility and adaptability in dealing with a variety of assignments, people, and resources.
- Ability to work with minimal supervision with a strong commitment to excellence
