Job Description

Job Title: Executive/Admin- Assistant
Business/Function: Financial Markets

Job Specification

Department Overview:
  • Financial Markets New York is a regional hub providing client solutions in Global Securities Finance, Money Markets, Equity and Commodity Derivatives, Debt Capital Markets, Rates and Inflation Derivatives, Structured Note Offerings, Products for Private Investors (PPI), Emerging Market Debt Structuring, FX and FX Derivatives.

Main Duties and Responsibilities of Role:
​
  • Organize local and international travel often complex and subject to change: flights, hotels, taxis, visas, currency, produce detailed itinerary
  • Plan and co-ordinate FM team and client events, professional invitations, manage distribution lists etc.
  • Invoice verification and processing
  • Manage both expenses & budgets (heavy use of Microsoft-Excel)
  • Coordinate internal / external meetings, conference calls, video conferences including agenda creation, travel, lunches, dinners, etc.
  • Presentations: Create, revise, enhance (heavy use of PowerPoint)
  • Prepare team expense reimbursements and monitor team expenses
  • Manage calendar, special initiatives, team events
  • Joiner/leaver tasks: organize IT/comms set-up, business cards, security pass, Amex etc.
  • Phone coverage / call screening when necessary
  • Assisting in any office or desk moves
  • Business Management tasks, such as report generation, follow ups with Amsterdam and research

Candidate Profile

Qualification/Education
  • Bachelor’s Degree

Experience/Knowledge
​
  • COMMUNICATION: Superior written communication skills for Email, MS-Power Point, etc.
  • EXCEL: Must have advanced proficiency in MS-Excel (Graphing, Charting, Pivot Tables, etc.)
  • POWERPOINT: Must have advanced proficiency in MS-Power Point (Graphing, Charting, complex diagrams)
  • BUDGETING: Budget formulation, comparative budget analysis (vs. prior years, vs. actuals, etc.)
  • ACCOUNTING: Basic understanding of accounting principles (depreciation, direct/indirect expenses, etc.

  • Ability to adapt to changing environment while maintaining a positive, professional attitude; good soft skills

  • Be dependable and trustworthy
