Summary
A Miami-based family office is seeking an Executive Operations Manager / Chief of Staff to serve as a strategic partner and execution arm to the principal. This role is designed for a high-agency business operator, not a traditional executive assistant.
The ideal candidate is someone who independently prioritizes, builds systems, makes judgment calls, and acts as a trusted proxy across both business and personal domains. The position is designed for a senior professional who is comfortable taking ownership, setting priorities, and moving initiatives forward with minimal direction, while maintaining discretion and alignment with the principal’s objectives.
This position offers meaningful responsibility and trust within a private family office environment and is well suited for someone who thrives in a high-responsibility, high-autonomy setting. Candidates with backgrounds in family office operations, investment or operating roles, or senior Chief of Staff positions, and who are comfortable working across both business and personal matters, will be particularly well aligned.

Responsibilities
Strategic and Executive Operations
- Act as a trusted proxy for the principal, making decisions and advancing initiatives independently.
- Own prioritization across competing business, personal, and household demands.
- Translate high-level direction into structured execution without handholding.
- Build and maintain operational systems, workflows, dashboards, and reporting mechanisms.
- Anticipate risks, dependencies, and bottlenecks before they surface.
- Filter information and communications to protect the principal’s time and focus.
Family Office and Business Operations
- Oversee day-to-day family office operations with discretion and precision.
- Interface with advisors, partners, vendors, and senior stakeholders.
- Coordinate across investment-related, legal, financial, and administrative functions.
- Manage confidential communications and sensitive information.
- Ensure continuity, follow-through, and accountability across initiatives.
Personal and Lifestyle Oversight
- Ensure the principal’s personal life runs seamlessly to five-star standards.
- Oversee travel logistics, scheduling, residences, and lifestyle needs at a strategic level.
- Coordinate household staff, vendors, and service providers without micromanagement.
- Step in directly when needed while maintaining an operator’s perspective.
Qualifications
- Proven experience as a Chief of Staff, Head of Operations, or family office leader.
- Background in family office environments, PE/VC, startup operations, or comparable high-performance settings.
- Demonstrated ability to operate autonomously with sound judgment.
- Track record of building systems, not just managing tasks.
- Exceptional prioritization skills and comfort making decisions with incomplete information.
- Strong executive presence, discretion, and emotional intelligence.
- Ability to manage both strategic initiatives and high-touch personal execution.
- Comfortable with a fast-moving, high-expectation environment.
- Willingness to travel regularly as required.
Additional Considerations
This role is NOT designed for a traditional executive assistant or estate manager expanding into business support. It is intended for a business operator who can also manage personal and household execution with sophistication and discretion. Candidates seeking a support-only role will not be a fit.
