Summary
The clients are an affluent family based in Newport Beach, California, and they are seeking an exceptional Executive Personal Assistant / House Manager to become a trusted partner in managing their busy personal lives, multiple residences, and day-to-day operations. This is an exciting opportunity for a highly proactive professional with a tech savvy skillset to build systems, create organization, and become an integral pro-active part of the household.
The ideal candidate is a polished, resourceful, and technology-savvy Executive Personal Assistant who enjoys anticipating needs before they arise. This individual will coordinate travel, oversee household projects, manage vendors and contractors, support family events, handle technology and ensure every aspect of the principal’s personal lives runs seamlessly. This is a highly visible role requiring outstanding judgment, discretion, flexibility, and exceptional organizational skills.

Responsibilities
- Provide comprehensive executive and personal support to both principals.
- Manage complex calendars, appointments, and scheduling.
- Coordinate domestic and international travel, including researching options and preparing detailed itineraries.
- Oversee multiple residences and coordinate with caretakers, vendors, contractors, and service providers.
- Assist with home improvement and remodeling projects, including tracking timelines, invoices, budgets, and communications.
- Coordinate household logistics and ensure residences remain guest-ready.
- Manage vehicle registrations, maintenance, detailing, and servicing.
- Coordinate family events, entertaining, holidays, and special occasions.
- Research products, services, vendors, and travel destinations while presenting thoughtful recommendations.
- Purchase household items, gifts, and family necessities, including preparing residences for visiting children and grandchildren.
- Track household expenses and organize financial documentation for accountants.
- Assist principals with technology needs, including smartphones, smart home systems, televisions, remotes, spreadsheets, and general troubleshooting.
- Serve as the primary point of contact for vendors, contractors, and household service providers.
- Anticipate needs, solve problems proactively, and continually improve household organization and efficiencies.
- Handle confidential information with the utmost discretion and professionalism.
Qualifications
- Previous experience supporting UHNW principals, executives, entrepreneurs, or family offices.
- Executive Assistant, Personal Assistant, Lifestyle Manager, Household Manager, or similar private service experience preferred.
- Exceptional organizational, planning, and project management skills.
- Highly proactive with outstanding follow-through.
- Strong technology aptitude and confidence troubleshooting everyday technology.
- Excellent written and verbal communication skills.
- Experience coordinating vendors, contractors, household projects, and multiple priorities simultaneously.
- Professional, polished, resourceful, and service-oriented.
- Strong judgment with the ability to work independently while anticipating the principals’ needs.
- Valid driver’s license with a clean driving record.
- Comfortable working in a fully in-person environment.
- Flexibility to occasionally respond to urgent weekend or after-hours communications when necessary.
Schedule
- Monday through Friday.
- Primarily in-office and at the principals’ residence as needed.
- Flexibility for occasional weekend support appreciated, though the principals respect personal time and do not anticipate frequent after-hours work.
