Providing support including diary management, management of incoming and outgoing correspondence, support at internal and external meetings, and planning ahead to ensure that effective use is made of the time available.

What you’ll be doing as part of the team
You’ll provide the Chief Executive and Chairman with comprehensive support to ensure the smooth running of the office. In doing this you will:
- Manage the Chairman’s and Chief Executive’s diaries to ensure effective use of their time
- Ensure that executive meetings and conferences are diarized and that the selection of venues, the preparation of costings and the travel arrangements are managed well
- With the Head of Governance, ensure that Committee and Trustee meetings and visits are organized and run efficiently
- Implement and manage effective communication systems and respond to internal and external correspondence, communications and emails as appropriate, ensuring, for example, that the logging of incoming correspondence takes place, that draft replies are requested and that responses and deadlines are monitored
- Ensure the office runs smoothly and efficiently, liaising and coordinating with other Senior Management teams and Directors’ assistants, as required; handle a range of conflicting priorities and at the same time, ensure that the Chief Executive’s office maintains an open and outward facing approach
- Prepare the Chief Executive and Chairman for all internal and external meetings
- Support the Chief Executive and Senior Management Team with the agenda planning and running of Senior Managers’ Conferences
- Prepare information for reports to Trustees/Commissioners and Committees and format original drafts of papers for the CEO / Chairman to review
- Provide initial scrutiny of papers and submissions made to the Chief Executive and Chairman; identifying critical issues for attention and decision and discussing key issues with Directors and Senior Managers for their further advice as appropriate
- Be able to judge the priority of calls, and filter these calls sensitively and tactfully
- Manage the Chief Executive’s and Chairman’s budgets and authorisation of payments to suppliers
- Manage expenses and hospitality processes and maintain accurate records
- Establish and maintain excellent working relationships both within English Heritage and externally and carry out any other duties that may be reasonably requested by the Chief Executive and Chairman
- Provide guidance and management support to the Business Support Assistant, creating a positive working environment and an interesting and varied role, setting their objectives, managing their workload and reviewing their performance.

Who We’re Looking For
- Experience of office organization and administration in a busy office and at an executive level
- Experience of working for a senior executive director
- Experience of working with non-executive boards
- Experience of supporting a director frequently travelling and working away from the main office
- Experience of organizing large meetings and conferences
- Previous experience of supporting a Chief Executive and Chairman
- People management experience
Essential Skills / Knowledge / Qualifications
- Highly organized and able to prioritize workloads
- Knowledge of and awareness of the workings of a charity
- An interest in the historic environment
- Excellent standard of written and spoken English, editing, and proofreading skills
- Good computer skills, including ability to use full range of Microsoft office applications
- The ability to write accurate and clear minutes
- A competent people manager, objective-setter and delegator
- Ability to communicate effectively at all levels both within and outside English Heritage
- Ability to work well within a team
- Flexible and positive attitude to work, being prepared on rare occasions to work longer hours to meet deadlines and to undertake routine tasks
- Ability to work on own initiative, identify priorities and manage multiple tasks, sometimes under pressure, retaining accuracy and attention to detail
- Able to work with discretion and recognize and deal sensitively with confidential information
- Patience, perseverance and resilience
