Switchfly is on the lookout for an energetic and self-motivated Administrative Business Partner to support our senior leadership team.

The Administrative Business Partner is a key player in supporting the senior leadership team, providing high-level administrative and operational support to the company's executives, including the CEO. This role acts as a force multiplier for the senior leadership team by handling a wide range of responsibilities to ensure smooth and efficient operations.

The Administrative Business Partner is a key player in supporting the senior leadership team, providing high-level administrative and operational support to the company's executives, including the CEO. This role acts as a force multiplier for the senior leadership team by handling a wide range of responsibilities to ensure smooth and efficient operations.
Responsibilities
- Manage complex calendars and schedules: coordinating meetings, travel arrangements, and prioritizing time effectively. Working both internally and externally with customers, investors, and board.
- Plan and execute company-wide events such as off-sites (100+ people), team-building activities, virtual company meetings, and other employee engagement initiatives.
- Oversee the execution of non-disclosure agreements (NDAs) and other legal documents in coordination with the legal and/or executive team.
- Support the implementation and tracking of Objectives and Key Results (OKRs) across the organization, including progress reporting and accountability.
- Handle day-to-day administrative tasks such as managing correspondence, preparing reports and presentations, office support, and maintaining filing systems.
- Serve as the primary point of contact for the executive team, internal and external stakeholders and board management, managing information flow and queries with discretion and professionalism.
- Prepare agendas, take minutes during meetings, and ensure follow-up on action items.
- Coordinate cross-functional projects and initiatives involving multiple stakeholders and departments, monitoring project timelines and milestones and providing updates and reports as needed.
- Oversee corporate ‘SWAG’ process for new hires, seasonal gifts, employee rewards, etc.
- Conduct research, gather data, and prepare reports or briefs for the CEO’s review and decision-making.
- Maintain strict confidentiality when dealing with sensitive information and matters.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 5+ years of experience in an executive support or operational role, preferably in a fast-paced environment.
- Exceptional organizational, multitasking, and time management skills with the ability to prioritize.
- Excellent written and verbal communication skills, with a professional and polished demeanor.
- Must be comfortable working with C-suite and members of the Board.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with Viva Goals preferred.
- Proficient with DocuSign or Adobe e-signature processes.
- Excellent problem-solving and critical thinking abilities.
- High degree of integrity, discretion, and ability to handle confidential information.
- Must be located in Denver/Boulder area.
- Must be able to travel (minor) if needed.
- This role requires being on-site in the downtown Denver office on Tuesdays (most weeks) and other days as necessary.
- Switchfly has nearly 200 employees, most are remote, so you should be comfortable working in a remote or hybrid work environment.
