Summary
A Miami-based Family Office is seeking an exceptional Executive Assistant/Chief of Staff (for a family, not corporate) to support two principals across personal, professional, and household operations.
This is a high-caliber, hands-on role for an articulate, sharp, experienced professional who operates with strong judgment, independence, and precision. The ideal candidate functions as a true extension of the principals anticipating needs, executing without handholding, and managing complex logistics seamlessly.
This position is best suited for a candidate who brings immediate, walk-on skills and is motivated by growth, responsibility, and long-term career development within operations.
While the role carries both the EA and CoS responsibilities, it is far more expansive in scope, blending operations, logistics, project management, and lifestyle oversight in a dynamic Family Office environment.

Responsibilities
Executive, Personal, & Family Office Support
- Serve as a trusted extension of both VIPs, managing daily priorities with discretion and sound judgment.
- Anticipate needs, solve problems independently, and ensure seamless execution across all aspects of life and work.
- Coordinate complex calendars, meetings, and travel with a proactive, forward-thinking approach.
- Manage communication, scheduling changes, and real-time adjustments, ensuring no detail is missed, especially during travel.
Operations & Logistics
- Oversee logistics across multiple residences, both domestic and international.
- Coordinate private aviation logistics, including aircraft scheduling, FBO coordination, ground transportation, and arrivals/departures to exact specifications.
- Manage travel with the principals as required, ensuring smooth transitions and on-the-ground support.
- Coordinate vehicles, chauffeurs, and transportation assets.
- Support real estate holdings and asset management logistics within the broader portfolio.
Project Management & Execution
- Support ongoing projects related to household operations, family expansion, and lifestyle management.
- Source vendors, investigate solutions, and manage relationships across household and operational needs.
- Oversee and coordinate household staff, ensuring alignment with the principals’ preferences and standards.
- Maintain awareness of the principals’ tastes, routines, and expectations to make informed decisions on their behalf.
Lifestyle & Household Support
- Provide hands-on support for the female principal, including packing, wardrobe coordination, personal errands, and appointment scheduling.
- Manage personal logistics related to pets, household staff, and growing family needs.
- Ensure homes, travel, and daily life remain organized, polished, and fully supported at all times.
Qualifications
- Minimum of seven years supporting HNW/UHNW principals, family offices, or senior executives in highly dynamic environments.
- Bachelor’s degree required.
- Exceptional judgment, critical thinking, and decision-making ability.
- Proven ability to execute independently without training on fundamentals.
- Highly organized with strong follow-through and operational discipline.
- Experience managing complex travel, aviation logistics, multiple properties, and high-touch lifestyles.
- Polished, articulate communicator with strong written and verbal skills.
- Professional presentation and aesthetic awareness.
- Collaborative, transparent, and integrity-driven.
- Comfortable being fully hands-on and taking ownership.
