Summary

The Amazonian Experience and Technology (AET) organization is seeking an Executive Assistant to provide support to multiple directors. Amazonian Experience and Technology (AET) provides technology and services that Amazon’s entire global workforce, over 1.5M people and counting, relies on every day. We operate at the intersection of technology and empathy, re-imagining Human Resources conventions. Our customers are our colleagues, and we’re innovating for them.

The right candidate will have a strong sense of ownership, bias for action, and be able to work accurately when under pressure to meet tight deadlines. You will be responsible for a wide range of activities including management of fast-changing and complex executive calendars and tracking key deliverables. Other activities may include managing large-scale events. You will be entrusted to a wide range of unsupervised decisions affecting the prioritization, importance, and speed of our business.

You’ll also have access to confidential information, and will be trusted with information regarding data privacy. You need to be someone who wants to build a deep and trusting, long-term partnership with leaders. A successful candidate will possess the ability to partner with teams across the company, operate independently, and react with appropriate urgency to situations that require a quick turnaround.

Responsibilities

  • Manage complex calendar and scheduling requirements for internal stakeholders.
  • Exercise high judgment and decision making in an ambiguous environment.
  • Planning domestic and international travel.
  • Manage expense report coordination and submission.
  • Organize, execute, and assist with team activities (staff meeting agendas, global team meetings, off-sites, etc.).
  • Act as a liaison for direct reports.
  • Ensures they demonstrate knowledge and awareness of the Amazon Leadership Principles in their daily work ethics, indexing highly on more than a few as they build their brand (manner reflective of a leader).
  • Work closely with the leadership team, business partners, and other Executive Assistants to provide seamless support to the organization.
  • Participate in document writing, editing, and readiness.
  • Have fun and help others do the same.

A Day in the Life

You will be responsible for a wide range of critical activities including complex calendar management, tracking key deliverables, managing expenses, and organizing team activities and events.

Other responsibilities include but are not limited to space planning and ad hoc project coordination. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company.


Working in a highly ambiguous environment, you will demonstrate initiative, complete tasks and projects quickly, and proactively take action without the total picture. You will learn organizational structures and objectives of the teams you support.

Basic Qualifications

  • Experience with Microsoft Office products and applications.
  • 5+ years of executive assistant experience.
  • Experience with executive level calendar management.
  • Experience with domestic or international travel coordination.

Preferred Qualifications 

  • Experience leading process improvements.
  • Experience in a fast-paced, high-tech company.
  • Experience designing processes to maximize efficiency.
